Reservation Guidelines & Online Form
Please read thoroughly before submitting.
The online form is for classroom space (when not for a credit class) or for University Union space.
1 - Requests require a 24 hour turn-around time. Reservations are processed 11 am - 5 pm, Monday through Friday.
2 - Raffles cannot be held on campus without permission from David Hagerbaumer (Campus Life Director).
3 - All food arrangements must be approved by Sodexo. (This includes pot luck dinners.)
4 - Groups who do not show up for tabling will lose tabling privileges in the University Union Food Court for the current semester. We only allow one type of sale per day (1 bake sale, 1 flower sale, etc) so there's no competition between groups for sales.
5 - Due to complaints about new union tabling (Food Court area) booking up so far in advance, we are asking that no one request more that one table in the new union per week. If you need more than one day per week, the second table will need to be booked in the Old Union (Tillman Lobby area). This is to ensure that everyone gets a chance to book a table in the new union and no one monopolizes the Food Court Tabling area.
6 - Certain rooms have standard set ups. If you move the chairs during your program, they must be put back in order when you are finished or your group may be fined a re-set charge.
7 - Before you can show a movie on campus you will need to show proof that you've obtained permission. A signed confirmation will need to be returned to UU-W205 before your reservation is valid. Rules for showing movies can be found at the MOTION PICTURE LICENSING CO WEBSITE.
8 - All University Union rooms are kept locked. To get into reserved rooms, go to the Information Desk to have the student manager unlock the door for you.
9 - If you need sound equipment in the University Union, contact Carl Darling at 777-4473. If you need any equipment in a room outside of the University Union, contact Educational Communications.
10 - Student groups must submit vouchers for payment to the S.A. office. Offices are not allowed to take payment directly from S.A. accounts. Groups that do not pay bills on time may lose reservation privileges.
11 - This office is in charge of enforcing the University's posting policy. You may view the complete policy by visiting UNIVERSITY POSTING POLICY.
12 - To see what a specific classroom has for equipment, see EDUCATIONAL COMMUNICATIONS CENTER.
13 - Academic A and B are not available for student group use. Requests for those rooms will be placed in other buildings.
14 - All student groups must be S.A. chartered to hold meetings. If you're not sure if your group is chartered (this does not include Greek organizations) you can check SA STUDENT GROUPS.
15 - To book a room for a credit course (including review session, dissertation defenses, exams, etc) please use REGISTRAR CLASSROOM REQUEST FORM. This form is for faculty, GA's and/or TA's to book classrooms for credit course related events only and is not for student group use.
16 - Weekly meetings can only be a maximum of three hours. NO EXCEPTIONS due to campus room shortages.
17 - The Chenango Room can be reserved, but only after 5:30pm, Monday - Friday, or on the weekends. Please remember that the maximum number of people the Chenango room holds is 80.
18 - If your confirmation says that you need to contact Nick with set up information, make sure this is done with, at least, a few days notice. Last minute changes will not be guaranteed and are not appreciated.
