Reservation GUIDELINES

The University Union office is responsible for coordinating the scheduling of many University facilities.

Who can reserve space?

Reservations may only be made by University recognized groups, organizations, and University Faculty and Staff. This includes SA Chartered Groups, Graduate Student Organizations, Greek Organizations, etc. Outside Organizations that are non-profit may also reserve space, but must go through "Conferences & Event Services" by contacting Julie Guditis at (607) 777-6200. Facilities may not be reserved by individuals for personal use.

Reservation Procedures

Reservations are granted on a first-come, first served basis. Reservation requests must be submitted via the "Reservation Form" link on the top right of this page.

Reservation Guidelines

* All requests for room set-ups and delivery of special equipment must be made at least seven working days prior to the event.

* No outside food or beverages are to be brought into reserved facilities without prior approval from Sodexo.  Please see Joe Laskaris (777-2925) with questions.

* Musical performances (including drums, bands, or amplified music) are not allowed in University Union meeting rooms except those designated as performance spaces (because of the noise level).

* Each sponsoring group is responsible for any repair costs or damage to the facilities reserved.

Reservations requiring signatures

The Reservationist will notify you when this is the case.

University Union Tabling

Tabling hours are 11am - 4pm, Monday through Friday only.  Your table may be given to another organization if you do not claim it by noon.  Due to the high no-show rate, if you book a table and don't claim it, your organization will lose tabling privileges in the new union for the current semester.  We only allow one type of sale in each location per day so there's no competition for sales between groups.

Tillman Lobby - 11 tables per day

University Union West Lobby - 10 tables per day

* PLEASE NOTE - Tabling for a profit making organization is considered fund-raising (NOT an information table). If a profit making organization "tables" with your student group, they will be charged a $40 a day tabling fee to be paid to the UU office before you will be allowed to set up your table.

Important Points to Remember

* LIT CANDLES are not allowed in any University facility.

* Pot Luck dinners cannot be held in any reserved room unless you first obtain permission from the Catering Office.

* Radios/TVs/CD players are not allowed at Information/Fund-raising tables until prior approval is obtained from the Director of the University Union.

* Raffles are illegal and cannot be held at university functions or at fundraising tables. For specifics, see David.Hagerbaumer in the Campus Life office.

*Credit Card sales are no longer allowed on campus
